This Executive Assistant role provides high‑level, trusted support to the CEO of Savills, a leading global property advisory group, based in the Sydney CBD office. Operating with a high degree of autonomy and discretion, the role requires strong initiative and the ability to anticipate the CEO’s needs, staying one step ahead to proactively manage priorities and enable effectiveness, while always maintaining complete confidentiality.

The position supports the CEO through complex diary and inbox management, coordination of executive and Board meetings, preparation of reports and presentations, and seamless travel and logistics support. Acting as a key point of contact for senior leaders, clients, and stakeholders across Australia and New Zealand, the role is critical in keeping the CEO informed and well positioned for effective decision-making in a global organisation.

What You’ll be Doing

  • Providing high‑level executive support to the CEO, operating with autonomy, discretion, and sound judgement
  • Managing complex diaries, inboxes, and competing priorities for the CEO
  • Coordinating executive meetings, including papers, minutes, and follow‑up actions
  • Arranging travel and detailed itineraries for the CEO and Executive team
  • Supporting the COO/CFO with ad hoc administrative tasks, including travel and meeting preparation
  • Preparing executive reports, presentations, and Board papers in collaboration with the CEO
  • Liaising with senior leaders, clients, and stakeholders across Australia and New Zealand
  • Managing invoices, expenses, and reconciliations for the CEO and Executive team
  • Maintaining compliance with licensing and mandatory training requirements
  • Providing support across office operations and event management as required

What You’ll Bring

  • Proven experience supporting a CEO, C suite Executive or senior Executives in a fast paced, professional environment
  • Highly organised, proactive, and able to anticipate executive needs and prioritise competing demands
  • Exceptional discretion, integrity and professionalism
  • Calm, resilient, and adaptable under pressure
  • Excellent written and verbal communication skills
  • Demonstrated experience managing complex diaries, inboxes, and executive workflows
  • Skilled in coordinating meetings, minute taking, and action follow up
  • Experience arranging domestic and international travel and detailed itineraries
  • Confident liaising with senior leaders, Board members, clients, and external stakeholders
  • Experienced in preparing reports, presentations, and briefing materials
  • Strong attention to detail with advanced Microsoft Office skill
