About Opportunity
We’re looking for a Property Assistant who will play a critical role in maintaining financial accuracy and managing debt across a diverse portfolio of assets. This is an exciting opportunity to join our dynamic Centre Management team at Pacific Werribee Shopping Centre – one of Melbourne’s largest regional retail destinations – where your expertise in finance and lease administration will make a real impact.
As a key member of the team, you’ll contribute to the financial performance of the Centre through retailer lease compliance, lease setups, rental billings, arrears collection and management, and property administration reporting. You’ll support the Property Administration Manager in ensuring all property administration functions are compliant and efficient, act as the first point of contact for stakeholder enquiries and help keep the Centre Management administration running smoothly.
Role Responsibilities
- Arrears Management –
- Oversee monthly rent collection of portfolios
- Meet arrears collection targets as set by the business receipting unallocated payments
- High volume reconciliations of tenant accounts – ensuring accounts are accurate and payments and credits are applied correctly and in a timely manner
- Ensure inactive accounts are finalized in a timely manner
- Liaise with external solicitors on legal matters relating to arrears collection
- Lease Administration – Set up new, assignments and renewed leases, update records, and maintain accurate tenancy schedules
- Tenant Billing & Charges –Review, validate and raise charges accurately, generate in a timely manner to meet business requirements and send tenant invoices
- Reporting & Reconciliation – Prepare arrears and billing reports, update outgoing recharges and council rates, and maintain compliance records
- Tenant and Stakeholder Support – Deliver high-quality tenant support, respond promptly to enquiries, collaborate with internal teams, and assist managers with audits and ad-hoc tasks
What Sets You Apart
- Previous experience in a high-volume collection’s role (min. 3 years’ experience)
- Previous experience within a property collections role would be desired
- Comprehensive knowledge of and understanding of how to complete tenant account reconciliations
- Knowledge of and understanding of retail leases
- High level written and verbal communication skills
- Proficiency in Microsoft Excel, MRI experience preferred and SharePoint, Salesforce and PowerBI experience advantageous
- Available to start immediately advantageous
